Businesses and organizations run on email. These emails contain everything from trade secrets and contract negotiations to invitations for coffee and requests to pick-up milk. They flow through massive servers designed to guarantee that messages are delivered reliably, and in some cases they are archived in a document management or email archiving system to ensure that copies are retained for compliance purposes. But consider what happens if someone actually needs to find a particular piece of mail in the system. Who would they ask, where would they look, how would they search the system and will they understand what they've found when they find it?

For most enterprises, simple answers to these fundamental questions do not exist, in large part because email was never intended to support the kind of complex, mission-critical communications that we currently ask it to do. While nobody can deny email's simplicity, reliability, ease-of-use and convenience, those messages sit in huge data repositories that are almost entirely unstructured with no way of separating what's important from what's not.

Years ago the same problem existed with our electronic documents and the solution was Electronic Document and Records Management Systems (EDRMS). This leads to suggest we use the same solution for our email. Unfortunately, EDRM systems don't have the same beneficial effect on emails as they do on documents because each email gets filed in the system as a single document. So whereas a million individual copies of a file or a document version might distill down to 50,000 unique documents in an EDRMS, a million emails scattered across everyone's Inbox is still a million pieces of mail in your centralized system.

Imagine the Solution
What's needed is something that can do for email what document management systems have done for documents. Something that could reduce the total number of emails that need to be managed, while at the same time provide structure to an organization's email so that employees can more easily find any email in the system and understand what they are looking at when they find it.

To imagine the solution, consider what happens if instead of saving each email separately in your EDRM system, you organized them first into discussion threads. If you then saved these threads into your EDRM system you could realize for email the same benefits that you already realize for your documents. The total number of threads to be managed would be significantly less than the total number of emails, and whenever someone finds a particular email in the system, it would appear within the context of the entire discussion thread.
